This is the page to forward to the colleague who has to approve it. It answers the questions HR, procurement and finance ask before a Corporate Billed Lease is signed, in the order they usually ask them.
A vehicle lease for one employee, for the length of the assignment, with the company invoiced monthly. ExpatRide places the lease with a vetted local leasing partner in the country, the employee chooses the car with a Personal Car Shopper within the budget you set, and ExpatRide coordinates insurance (included in most locations), registration and delivery. Until the lease car arrives, a rental or a chauffeur covers the gap.
The company signs one agreement with ExpatRide. That agreement covers all 67 countries where the program runs, and it also covers rental cars, airport transfers and chauffeur service for the same employees. The company does not co-sign a local lease, does not pay a deposit and does not need an entity in the country. Approval is based on the financial standing of the head office.
One invoice per month, to the company, the RMC or the Employer of Record, in the currency you choose, on 30-day payment terms. The monthly amount is fixed from the first day. Tolls, fines and fuel are the employee’s, as with any car. In a few countries direct billing is not available for leases; you are told at the quote stage, and the employee can lease through the consumer program instead.
Against a long-term rental: a rental that runs for two years costs more than a lease, and the employee drives a car nobody chose. Against a cash allowance: the allowance is often taxed as salary, is spent on other things, and still leaves the employee unable to get a lease approved without local credit history. The lease fixes the cost, puts the family in a car that fits them, and keeps the company off the lease as guarantor.
The early termination terms depend on the country and the leasing partner, and they are written in the quote before anyone signs. In most cases there is a termination fee or the remaining months are due. If early ends are common in your program, say so at the quote stage and the Personal Car Shopper looks for the shortest term and the lowest exit cost.
Send the policy tier or the monthly budget with the request and the quote stays within it. Hybrid and electric vehicles are quoted where the local market supports them, which is how mobility teams with a sustainability target bring the assignee’s car into Scope 3 reporting. ExpatRide’s EcoRide program covers this.
ExpatRide International was founded in 2011, is ISO certified, works with more than 60 relocation management companies and with Fortune 500 mobility programs, and answers vendor security questionnaires. Offices in the United States, Denmark, the Czech Republic and the Philippines; the phone is answered around the clock.
Send the corporate billed lease request form with the destination country, the start date, the length of the assignment, the budget or policy tier, and who should be invoiced. A non-binding quote follows in one to two business days. The employee’s documents (passport, driver’s license, work permit) come afterwards, and the process can start before the visa is issued.
