Corporate Billed Car Leasing in the United States

Corporate Billed Car Leasing in the United States

In most of the United States there is no daily life without a car, and a US dealer or leasing company will not lease to an employee with no US credit score or to a company with no US entity.

ExpatRide places the lease with a vetted US partner. The company or its EOR signs one agreement with ExpatRide and receives one invoice a month, and the employee has a car from the first week instead of after the months it takes to build a credit file.

For HR and global mobility teams moving an employee to the US, procurement and finance teams who want one supplier and one invoice across locations, and EORs or their clients hiring in the US without a US entity.

Approval depends on the financial standing of the head office, not on a local entity, and a non-binding quote takes one to two business days. Lease terms start at 12 months and hybrid and electric cars are quoted through EcoRide.

‍

How the US lease works with ExpatRide

The company signs one agreement with ExpatRide. No US entity, no co-signing, no security deposit from the employee and no Social Security number or credit score needed for approval. ExpatRide places the lease with a vetted US partner, the assignee chooses the car with a Personal Car Shopper, and the company pays a fixed monthly amount for the length of the assignment.

What the lease includes

  • One agreement with ExpatRide. Approval rests on the financial standing of the head office, not on a US entity, a credit score or a Social Security number.
  • One invoice a month to the company, the RMC or the EOR, in the currency you choose, on 30-day terms. For EOR hires the invoice goes to the EOR or to the client, as the contract says.
  • Lease terms from 12 months, matched to the assignment. The monthly amount is fixed for the term. Early termination terms are in the quote before signing.
  • Insurance: in the United States the employer provides the insurance. Tell us at the request stage how the company insures its vehicles and the Personal Car Shopper works it into the quote.
  • Hybrid and electric cars are quoted where the model is available, through EcoRide.
  • A non-binding quote in one to two business days after passport and driver’s license are received. The visa is not needed to start, only to sign, and delivery is timed to the arrival date.
  • Vehicle availability in as little as two weeks, depending on model and state. A rental covers the gap until the lease car is ready.

How personal use is taxed in the United States

An employee’s personal use of a vehicle the employer provides, owned or leased, is a taxable fringe benefit added to wages, subject to federal income tax withholding, Social Security and Medicare, and reported on the W-2. Business use is excluded. The IRS allows three ways to value personal use: the annual lease value table based on the car’s fair market value, multiplied by the personal-use share; the cents-per-mile rule at the standard mileage rate, 72.5 cents per mile in 2026, available only when the car’s fair market value is 61,700 dollars or less when first provided; or the commuting rule at 1.50 dollars per one-way trip when commuting is the only personal use and a written policy says so. State income tax and sales tax on lease payments vary by state.

This is general information for 2026. The client’s US payroll provider confirms the treatment; ExpatRide does not give tax advice.

Why a lease beats a cash allowance

A cash car allowance is wages in full. With a company-provided car only the personal-use share is taxed, the company controls the vehicle and the cost, and the employee is not asked to lease on a credit file that does not exist yet.

Driving in the United States on a foreign license

Each state sets its own rule for how long a new resident may drive on a foreign license, and the clock starts when residency begins, not on arrival: New York and Florida give 30 days, Illinois 30 to 90 days, Massachusetts up to a year. To get the state license the employee shows passport, visa, I-94 and proof of address; some states waive the tests for holders of a valid home license, most require the written and road test. An International Driving Permit only translates the license and does not extend the deadline. See the driving license rules by country before the lease starts.

What the lease partner needs

Passport, home-country driver’s license, the US address once known, the company’s billing details and how the company insures its vehicles. For EOR hires, the EOR’s name and who is invoiced. Send the monthly budget or the policy tier with the request and the Personal Car Shopper quotes within it.

Hiring through an Employer of Record?

A growing share of US requests comes from EORs and their clients. The client has no US entity, the EOR does not lease cars, and the employee cannot get credit locally. ExpatRide places the lease with its US partner, approval rests on the client’s financial standing, and the invoice goes to the EOR or to the client, as the contract says. FAQ

‍

Can we lease before the employee arrives in the US?
Yes. The process starts on the passport and driver's license; the visa is needed to sign, and delivery is timed to the arrival date.
Does the employee need a US credit score or a Social Security number?
No. Approval is based on the financial standing of the company, not on the employee. No US credit history, deposit or co-signing is required.
Who insures the car in the United States?
In the United States the employer provides the insurance. Tell us at the request stage how the company insures its vehicles and the Personal Car Shopper works it into the quote.
How long does the lease process take in the US?
A non-binding quote takes one to two business days once the passport and driver's license are in. Delivery depends on the model and the state: dealer stock can be ready in about two weeks, factory orders take longer. Sending documents early and staying flexible on model and color shortens the wait.
Who signs the lease, and does the company have to guarantee it?
The company signs one agreement with ExpatRide and receives the invoice. The company does not co-sign a local lease, does not pay a deposit and does not need an entity in the country. Approval is based on the financial standing of the head office, and the quote is non-binding until it is accepted.
How is a Corporate Billed Lease invoiced?
One invoice per month to the company, the RMC or the EOR, in the currency you choose, on 30-day payment terms. Insurance is included in the monthly amount in most locations. In a few countries direct billing is not available for leases; we tell you before quoting, and the assignee can still lease through our consumer program.
We hire through an Employer of Record and have no entity in the country. Can we still lease?
Yes. This is one of the most common requests we receive. Approval rests on the financial standing of the client company, not on a local entity, and the invoice goes to the EOR or directly to the client, whichever the contract requires. The employee goes through the same Personal Car Shopper process as any assignee. Tell us in the request form who should be invoiced.
What happens if the assignment ends early?
The early termination terms depend on the country and the lease partner and are set out in the quote before anyone signs. In most cases there is a termination fee or the remaining months are due. Where the company expects assignments to end early, tell us at the quote stage and the Personal Car Shopper will look for the shortest term and the lowest exit cost.
Is the car a taxable benefit for the employee?
Only the personal-use share. The client's US payroll values it with one of the IRS methods (annual lease value, cents-per-mile or the commuting rule) and adds it to the employee's W-2 wages. Business use is not taxed. The company's cost is the fixed monthly lease invoice.
